Administrator - South Dublin - 1 Year Contract

Role Description

Our client, a global pharmaceutical company area currently recruiting for an Administrator for their Oncology Department. This is a 1 year contract role. The candidate will provide administrative support to the FH’s (Max, MA, Comm) reporting directly to the OBU Head.

Responsibilities:
FH Administrational support
• Provide executive support to Business Franchise Heads including correspondence, travel arrangements, expenses, calendar management and meeting room requirements.
• Assist Business Franchise Heads in on-boarding new associates
• Organise Business Franchise business and training meetings.
• Maintain accurate Product information and RMP lists to ensure accurate information for the product information Rota and the UK RMP Manager
• Originate, track and execute alongside the OBU Exec, compliant with relevant SOPs.
• Assist in the preparation for Audits and Inspections.
• Support onboarding of new medical/ Commercial and Max members

Marketing
• Work with the Business Franchise Heads to co-ordinate local and national meetings. Prepare invitations, collate responses, organise speaker fees and contracts. Process CPD applications to deadline. Attend larger meetings in supportive role if appropriate.
• Provide administration support – preparation of excel spreadsheets, drafting of word documents and letters, raising purchase orders, preparing job bags, searching for references related to promotional materials.
• Act as the champion for commercial activities along side the OBU Exec

Sales
• Act as office liaison for Disease Area Specialists and Disease Area Managers offering administrative support regarding meetings, distribution of promotional materials, medical equipment purchasing and other ad hoc requests in conjunction with the OBU Exec.
• Work with Disease Area Specialists and Disease Area Managers to co-ordinate coordination of local and national meetings. Prepare invitations; collate responses, organise speaker fees and contracts. Process CPD applications to deadline. Attend larger meetings in supportive role if appropriate.
• Originate, track and execute NP4 and G3 submissions, compliant with relevant SOPs.
• Responsible for retaining and tracking training files for the Franchise in line with SOP.
• IPAD Management.

Market Access and External Affairs Support
• Provide general administrative support to the Market Access team, for example in the preparation of letters and job bags.
• Provide administrative support to the Market Access team in the preparation of dossier and presentations for reimbursements purposes, for example, horizon scanning slides, health technology assessment dossiers, searching for references relating to HTA submissions
• Provide administrative support for Market Access / New Product led team meetings.
• Provide administrative support for the execution of the External Communications plan and liaise with brand teams to ensure the necessary promotional materials are available and approved, and then published in the appropriate media forum.
• Support Max Head in managing PR agencies and External Affairs vendors
• Provide support for new product – related external activities, such as Market Research, expert-opinion elicitation meetings / Advisory Boards / Payer focus groups organization and execution

Medical Support
• Provide administrative support – preparation and updating of excel spreadsheets, drafting word documents and letters, preparing job bags, searching for reference relating to medical presentations and materials, filing.
• Provide administrative support to the Medical team with respect the third party vendor programs- tracking training, ensuring documentation is up to date and accurate, compliance with local SOPS.
• Provide administrative support for Medical Advisory boards and National Medical meetings prepare invitations, collate responses, organise speaker fees and contracts.

Requirements
Third level general education in science and/or business. Very proficient in Microsoft Word,
Excel and Powerpoint.

Min 3 years experience within a varied office administrator role.
Be able to simultaneously plan, coordinate and execute various tasks. Prioritise independently and fulfil the tasks reliably, systematically and efficiently.
Proficient use of Microsoft Office package
