Role Description



The objective of this role is to participate in a team effort in the provision of Transfer Agency Services whereby responsibilities include assisting with the management of a busy Dealing Team (Mutual and Alternative funds). This is a client facing position that requires a technically strong, bright and ambitious individual who has a proven history of accuracy and attention to detail, building relationships and adding value in a team in a busy operational environment. You will ideally have a strong background within Investor Services/Transfer Agency with experience of playing a key role in an operational team and preferably have experience of supervising staff.   • Transcribe data from Mutual and Alternative fund application forms, and dealing instructions received from investors onto various Transfer Agency systems and review for accuracy.
  • Conduct quality checks on all contract notes, investor communications prior to release.
  • Maintain client accounts on the systems to ensure that details are correct and up to date.  Amend changes in accordance with strict operating procedures as defined by company policy.
  • Respond to queries and requests from investors in a timely and efficient manner (telephone and written) – 24-hour Service Level Agreement (“SLA”).
  • Assist in the setting of daily / monthly and ad hoc tasks for the team and communicate effectively across the team (morning team huddles).
  • Monitor daily, monthly and ad hoc workflows throughout the day to ensure deadlines are achieved, re-assigning work where appropriate.
  • Ensure that all daily, weekly and monthly reporting are delivered to Clients within agreed timeframe as set out within the SLA.
  • Assign work to subordinates and continually monitor their performance
  • Assist in the chairing of team meetings and ensure appropriate minute taking / actions is recorded
  • Assist in the preparation and delivery of performance reviews and objective setting.
  • Assist in the preparation, delivery and maintenance of procedures and checklists and present to your Manager for sign off, conducting a 1-week post role out analysis.
  • Ensure all NAVs are correctly reflected on the Transfer Agency system and the timely and accurate validation and release of end of day reports.
  • Assist in the preparation and validation of audits (internal / external) in a timely manner
  • To implement and maintain appropriate controls within his / her responsibility
  • To work with other Team Leaders and Managers to ensure the implementation of effective and efficient processes and controls across multiple locations
  • Assist in the launching of new client business, and seek to build and foster client relations timely.
  • Assisting and deputising (as appropriate) for the Manager in his / her absence, in terms of providing day to day management of the Dealing and Client Services Team.
  • To become involved in special projects and to perform other duties as deemed appropriate by the Team Manager
  • Understand the risks associated with all Transfer Agency related functions
  • Demonstrate a “can-do” attitude across the team and strive to motivate and lead a team to achieve their goals and objectives on a day to day basis.
  • Demonstrate strong team work ethic and good communication skills (written and aural).
  • Actively participate in monthly team meetings with a focus on identifying and highlighting any risk areas



  • Third Level Qualification - Financial Services related qualification/Business Degree
  • 2-3 years’ experience in Fund Administration
  • 1-year supervising staff
  • Experience in use of MS Office  
  • Knowledge of Multifonds
  • Rudimentary knowledge of accounting, finance and investment concepts
  • Proficiency in MS office
