Role Description

Facilities Co-ordinator Job in Belfast

In partnership with our client, CPL is currently seeking a Facilities Co-ordinator to be based in Belfast City Centre.  This will initially be on a fixed term contract until end of January 2019, with possibility of extension thereafter.

Working in partnership with a client facing helpdesk, the Facilities Co-ordinator will schedule direct and sub-contract labour, ensuring the effective planning and allocation of reactive tasks in line with SLAs and KPIs. You will be a visible point of contact for client escalations and manage solutions through to completion on-site with technicians, clients and sub-contract partners.

Main Duties:

  • Effective utilisation, efficiency and productivity of site engineers
  • Meeting / exceeding all SLAs for Attendance and Completion
  • Co-ordinate all helpdesk calls and email correspondence for the relevant mail inbox
  • Complete all work related documentation accurately and on time
  • Plan and schedule direct labour and sub-contract labour for optimum efficiency according to workload
  • Co-ordinate site attendance with sub-contractors and liaise with the client
  • Produce planned preventative maintenance work in advance and issue to site engineers and sub-contractors
  • Complete/ sign off planned preventative maintenance visits onto system
  • Use computer system to monitor work
  • Liaise with client representatives for the receipt and issue of work instructions
  • Administer overtime sheets/ check the corresponding work record sheets submitted 
  • Preparation of quotations
  • Liaise with site engineers on day-to-day issues
  • Managing the onsite teams holiday, sickness and training communication
  • Provide reception cover, spliting time between reception and admin office


  • Relevant experience in a Planning role using business in-house systems together with Microsoft packages
  • Educational and vocational qualifications in line with a Service Desk/Customer Service role
  • Exceptional IT skills with knowledge of Maximo or similar CAFM system
  • A knowledge of the hard services and facilities management sectors is desirable
  • Experience of daily interaction and workload management of site based teams
  • Co-ordination and Planning skills excellent organisational skills and ability to prioritise workload.
  • Ability to communicate professionally and effectively, both verbally and in writing, within all levels of the business and to external parties
